File Manager
File Manager (email.aimly.online/library) is the central attachment library for your Aimly Email workspace. Files uploaded directly in File Manager, inside Globals, or inside an individual Campaign all appear here in a single searchable inventory.
Supported formats and upload limits
Click Upload Files (or drag and drop files) to add attachments to your library:
| Constraint | Value |
|---|---|
| Allowed extensions | .pdf, .docx, .txt, .csv, .jpg, .jpeg, .png, .gif, .webp, .svg |
| Maximum file size | 5 MB per file |
| Maximum filename length | 255 characters (up to 100 characters for the filename stem when renaming) |
| Filename uniqueness | Active filenames must be unique per account (uploading a duplicate active filename returns 409 Conflict) |
Uploading a file into File Manager stores it in your library without attaching it to outgoing emails automatically. Use the link controls to attach it globally, to specific campaigns, or to individual emails.
Browsing, linking, and downloading files
- Sort — order files by Alphabetical, Size, or Campaigns.
- Filter — filter by Campaigns (files linked to one or more campaigns) or Global (files linked to account-wide Globals).
- Preview & rename — inspect supported documents and images in place or rename a file's stem without re-uploading.
- Manage links — open the attachment link modal on any file to attach or detach it across Global settings and any number of Campaigns at once.
- Download — download an individual file or select multiple files to download them bundled as
attachments.zip.
Three-level attachment inheritance
Outgoing emails combine attachments additively across up to three levels:
- Email-level attachments — files attached directly to a specific draft, manual email, or automation step.
- Campaign attachments — files linked to the campaign (included when the email or step enables campaign attachment inheritance).
- Global attachments — files linked in Globals (included when the campaign keeps global attachment inheritance enabled).
One-off emails resolve inherited attachments when saved as a draft, sent, or scheduled; automation emails resolve them when sequence drafts are generated. Inheritance is not re-evaluated dynamically at send time, so linking a new file to Globals or a Campaign does not alter those emails. Edit a saved draft's attachments directly, or regenerate the automation drafts.
Embedding inline images (CID)
Raster images in your active library (.jpg, .jpeg, .png, .gif, .webp) can be embedded by filename directly inside the email body, whether or not they are linked to the email.
Reference the exact uploaded filename inside double curly braces anywhere in an HTML or plain-text body or template:
Here is how the dashboard looks in practice:
{{product-overview.png}}
When the email is sent, Aimly embeds product-overview.png inline as a MIME Content-ID (CID) image at that position in the message.
Soft deletion behavior
Deleting a file in File Manager performs a soft delete:
- The file is removed from the active File Manager list and can no longer be linked to new campaigns, templates, or emails.
- Any existing Global, Campaign, or Email record that already linked the file continues to deliver it without broken attachments (displaying a Deleted from File Manager badge where referenced). This does not apply to inline
{{filename}}images: once deleted, the tag is sent as literal text. - Because deleted filenames are freed from the active library, you can upload a new file with the same name later if needed.
