Campaigns & templates
A campaign is a self-contained outreach workspace bound to one brand and one mailbox. It holds enrolled leads, saved email templates, campaign-specific preferences, single-send history, and multi-step automations.
Creating a campaign
Click Create campaign on the Campaigns page to launch the setup wizard:
- Campaign Name — enter a descriptive name (up to 60 characters).
- Brand — select the business identity for this campaign. Cannot be changed after creation.
- Mailbox — select the sending account for this campaign. Cannot be changed after creation.
- Content Guidelines — keep Use global guidelines selected, or choose Configure campaign guidelines to enter custom strategy fields (
Goal,Tone,Value Proposition,Email Length,Call to Action,Writing Guidelines,Additional Notes) or describe your offer in plain prose (up to 2,000 characters) and let the AI brief drafter populate the fields. - Attachments — keep Include global attachments selected or choose Do not include them for this campaign.
- Sending Calendar — keep Use global sending calendar selected or choose Configure campaign calendar to set a custom timezone and active sending days (
Mon–Sun).
Navigating a campaign
Opening a campaign replaces the main workspace sidebar with a campaign-scoped navigation menu (with Go Back at the top):
| View | Purpose |
|---|---|
<Campaign Name> (Overview) | Displays volume charts, status distribution, engagement/bounce rates, latest Audit summary for the mailbox, and automation status. |
| Enrolled | Lists all leads enrolled in this campaign, with filters, duplicate-company resolution, generation, and send controls. |
| History | Audit trail of sent, queued, scheduled, cancelled, and failed emails. |
| Drafts | Emails you have explicitly saved as drafts. A generated email stays in the composer and appears here only after you save it as a draft. |
| My Templates | Saved reusable email templates for this campaign. |
| My Automation | Multi-step follow-up sequence builder with execution status counts. See Automations. |
| Preferences | Per-campaign Guidelines, Attachments, and Sending Calendar overrides. |
If today is a paused day on the campaign's effective Sending Calendar, a banner at the top of the overview confirms that queued messages are held safely until the next permitted sending day.
Enrolling leads
To add leads, use the Enroll Leads in Campaign modal (Enroll Existing, Manual, CSV Upload, Finder). A CSV import creates new leads and automatically enrolls leads you already have, with no extra step. On Manual, entering an existing lead's email shows a warning with an Enroll in campaign button.
Understanding campaign metrics
- Email distribution — breaks down campaign messages across Sent, Scheduled, Draft, and Failed.
- Total Leads & Contacted — compares total enrolled leads against leads who have been sent at least one email in this campaign.
- Read Rate — percentage of sent emails where the recipient clicked the Confirm Email Read button inside the message. Aimly does not use invisible open-tracking pixels.
- Engagement, Hard Bounced & Opt-Out Rate — calculated as percentages of contacted leads, reflecting responses from leads (any non-automatic mail, even outside the thread), permanent
5xx/ DSN delivery failures, and per-mailbox unsubscribe clicks. - Selected mailbox audit card — displays the connected mailbox's most recent Aimly Audit score alongside Authentication, Sender reputation, and Inbox placement verdicts.
Templates and merge tags
Every new campaign is initialized with a starter template under My Templates containing example copy that must be edited before sending. You can save multiple named templates per campaign:
| Field | Limit | Notes |
|---|---|---|
| Template Name | 100 characters | Internal label used when selecting a template during generation. |
| Subject | 200 characters | Supports merge tags. |
| Body | 20,000 characters | Plain text or HTML; supports merge tags and inline attachment images ({{filename.png}}). |
Supported merge tags
Templates support exactly two personalization placeholders, substituted automatically in both the subject line and body when emails are generated:
| Merge tag | Substituted value |
|---|---|
{{lead_name}} | The contact's personal name (Lead Name). |
{{company_name}} | The organization the contact works for (Company / Organization). |
Aimly removes unrecognized placeholders only from AI-written copy. In templates and emails you write yourself, any tag other than {{lead_name}}, {{company_name}} or a {{filename.ext}} matching an uploaded image reaches the recipient exactly as typed (see File Manager).
Generating and sending emails
From the Enrolled or Drafts view, select one or more leads to compose and dispatch primary outreach emails:
Generation methods
- Generate with AI (
Text EmailorHTML Email) — writes unique copy per lead using the campaign's brand, content guidelines, and each lead's profile. Requires an AI provider key in Account → Integrations. - From Template — renders a saved campaign template across selected leads by substituting
{{lead_name}}and{{company_name}}. Requires no AI API key. - Manual edit — write or refine individual email subjects, bodies, and attachments directly in the composer or in Drafts before sending.
Dispatch and scheduling modes
- Send now / Send all now — queues selected emails for immediate dispatch, paced according to the mailbox's rate limit and the campaign's sending calendar.
- Schedule for later — queues selected emails to unlock at a specific date and time.
- Staggered schedule — spreads large sends across progressive waves using four controls:
- Start date & time — when the first batch unlocks.
- Initial batch (default
5) — number of emails in the first wave. - Interval (default
30 minutes) — delay between waves (minutes, hours, days, or weeks). - Increment per batch (default
+2) — additional emails added to each subsequent wave (set to0for fixed-size batches).
Managing shared-company leads, archiving, and cloning
- Multiple leads at the same company — when multiple enrolled contacts share the same Company / Organization, Aimly surfaces a Multiple leads, same company prompt so you can either Keep everyone enrolled or Choose who to keep (pre-selecting the highest-scored contact per company to avoid emailing colleagues simultaneously).
- Archiving campaigns — switch between Active and Archived tabs on the Campaigns list. Archiving a campaign pauses its active automations, cancels its queued and scheduled one-off emails (they stay cancelled after unarchiving), prevents edits, and frees an active-campaign slot on your plan while preserving full historical stats.
- Cloning campaigns — cloning a campaign (active or archived, if you have a free active-campaign slot) creates
{name}-clonedwith the same brand, mailbox, preferences, campaign attachments, all saved templates, and the complete automation sequence structure. You can optionally copy enrolled leads; send history and past executions are never copied.
